IAFFE is seeking a Conference & Events Coordinator (‘Coordinator’) to support the IAFFE Presidents and other key stakeholders in organizing IAFFE’s Annual Conference, the annual Feminist Economics School, sessions at international economics conferences (including AEA/ASSA), regional network events, regular online events, and other potential online or in-person events.

Commitment:
Fully remote, exempt, full-time position (40 hours per week, Monday – Friday), with potentially additional hours during key events, specifically the Feminist Economics School, Annual Conference, and ASSA Conference.

Primary Responsibilities:
1. Annual Conference and Event Coordination:
○ Annual Conference:
■ Planning and Execution: Assist in the comprehensive planning and execution
of the IAFFE Annual Conference, including scheduling, logistics, and participant
coordination.
■ Call for Papers and Scheduling: Assist in disseminating the call for papers,
coordinating the paper selection process, organizing plenary sessions, and
managing the conference program & schedule.
■ Logistics: Oversee logistical arrangements such as catering, technical facilities,
lodging, transportation, volunteer management, and on-site support.
■ Communication: Serve as a primary contact for queries related to paper
submissions, session planning, and registration.

○ Partner Events (including AEA/ASSA/IEA)
■ Session Organization: Support the President-Elect and ASSA Paper Selection
Committee in organizing IAFFE sessions at the AEA/ASSA meetings.
■ Special Events: Coordinate the President’s special events at the ASSA
conference and other conferences like ICAPE.
■ Logistics: Assist with logistics for events, including invitation letters and visa
requests.
■ Note: Other partner events are still evolving, but examples of past events include
IEA and DSA.

2. Travel Grants Management:
○ Administration: Manage IAFFE Travel Grants, including staffing the Travel Grants
Committee, issuing the call for applications, and organizing the review process.
○ Coordination: Act as the point of contact for travel grant recipients, addressing queries,
and managing fund use and reimbursement processes in collaboration with the Finance
Specialist.

3. Feminist Economics School Support:
○ Application and Selection Process: Manage the application and selection process for
participants and facilitators, including responding to inquiries and assisting with logistical
arrangements like visas and flights.
○ Event Logistics – Before and During the School: Oversee logistics in line with the
MoU, including space rental, catering, lodging, and transportation, and coordinating with
the local host. Ensuring logistics meet participant and facilitator’s needs during the
school. The Coordinator should attend the school workshops and be on-call to assist
participants during the school and conference dates. The Coordinator will be responsible
for check-in for the school and vendor management.
○ Note: The Coordinator will be required to attend the Feminist Economics School
in-person, with 1-2 days preparation beforehand.

4. Pre-Conference Workshop
○ Support the planning and oversee logistics of the Pre-Conference Workshop in
collaboration with the Pre-Conference Committee Chair(s).
○ The Conference Coordinator should attend the Pre-Conference Workshop and during the
workshop they will oversee registration, vendor management, logistics, and scheduling.

5. Longterm Site
○ Support the Longterm Site Committee and potential future conference hosts in the
submission of proposals.

6. Online Events:
○ Administrative Support: Provide administrative support for the Online Events
Committee in the preparation, execution, and wrap up of Online Events.
○ Design & Planning: Collaborate with the design & planning of regular Online Events.

7. Committee Support:
○ Committee Coordination: Assist in scheduling meetings, preparing and circulating
meeting minutes, and ensuring follow-up on decisions.

8. Awards Support:
○ Liaise with donors and prize committees in the issuing of bi-annual Agarwal Prize &
annual Rhoda Williams Prize.

9. Any other duties that might emerge: The above JD contains the main responsibilities and duties of this position. However, in an ever-evolving organization such as IAFFE, staff members
are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them but which are not part of their regular JD. Where any task becomes a regular part of a staff member’s responsibilities, the JD should be changed in consultation between the Managing Director, the staff member, and the personnel committee of the EC. Any one of the three may initiate the consultation.

Note on travel:
The Coordinator will be required to travel to the site of the conference during the duration of the Feminist
Economics School, Pre-Conference, and Conference. The Conference & Events Coordinator may be
required to do preliminary site visits up to one year before the annual conference, and may also require
travel to the annual ASSA Conference in January, depending on needs and budget. The Coordinator will
be responsible for securing their own visa and managing their travel logistics for international travel.
IAFFE will provide visa letters and reimbursement of visa fees as necessary.

Reporting Structure:
The Coordinator reports to the Managing Director and works in coordination with the President, outgoing
President/Conference Chair, incoming President, Treasurer, Online Events Chair, Feminist Economics
School Chair, and other IAFFE staff.

The role requires organizing and prioritizing tasks, maintaining alignment among all stakeholders, and adhering to the 40-hour work week, with necessary flexibility for additional hours during in-person event periods.

Essential Knowledge, Skills, Abilities & Experience
● At least three years of experience in events management, preferably in academic conferences
● Experience in planning and executing webinars and/or online events,
● Proficient knowledge of event management platforms and database management (particularly
abstract submission tools, event management software (EMS), and databases such as Airtable).
● Experience with online collaboration tools, particularly Zoom, GSuite, and Slack.
● Strong organizational and time management skills, with the ability to coordinate multiple projects
at the same time.
● Excellent attention to detail, ensuring accuracy in documentation and communication
● Proven experience working in a remote environment with the ability to work with a diverse and
virtual team and engage team members, build relationships and consensus.
● Excellent written and verbal communication in English
● Ability to travel internationally (approx.1-2 weeks per year)

Desirable Knowledge, Skills, Abilities & Experience:
● Demonstrated knowledge and experience in travel and administrative support
● Experience working with diverse communities from multiple identities across the globe, in a virtual
environment.
● Experience working with committee or other non-profit governance structures
● Basic Financial management
● Fluency in other languages preferred, especially Spanish and/or French

Compensation: $55,000 – $60,000 per year
Benefits:
● Flexible working hours (with the requirement that the Coordinator is available Monday-Friday
between 10.30 am and 2.30 pm UTC to facilitate communication and meetings between IAFFE
staff and members)
● Fully remote work environment, work from anywhere in the world
● Minimum 18 days of PTO, plus local public holidays. IAFFE staff employed in countries where law
provides for a higher number of PTO days will be granted that country’s legal requirement.
● Minimum of 14 weeks parental leave at full pay. IAFFE staff employed in countries where law
provides for a higher number of weeks, maternity, paternity or parental leave will be granted to
that country’s legal minimum.
